Channel Islands Chamber Orchestra
Administrative Director
(Part-time)

The Channel Islands Chamber Orchestra seeks an Administrative Director to oversee strategic vision and operations. This committed Director must possess excellent communication and organizational skills and have an interest in music, the arts in general, and arts education. This position reports to the Executive Committee of the Board of Directors and will work closely with the Artistic Director.

Duties and Responsibilities

Oversee and Coordinate Orchestra Operations
• Coordinate with the Artistic Director to schedule concerts, rehearsals, and venues
• Interact with the music contractor and musicians—maintain musician roster and email list, take attendance and collect administrative paperwork from musicians, maintain music licensing and insurance records, issue direct payments to musicians

Oversee and assist the stage manager and crew in coordinating and meeting staging needs for all rehearsals and concert (stage setup)
•Attend all concerts and rehearsals (up to approximately 30 per year), plus any special events
• Attend Board meetings and provide support to committees
• Assist bookkeeper

Publicity
• Work with graphics volunteer to create concert posters and programs, an annual brochure, and other materials as needed to promote the orchestra
• Use appropriate software for email marketing, post on social media, create and distribute press releases, and post events on community calendars

Fundraising
• Maintain donor records, and work with the Board of Directors to increase fundraising, increase donor base, implement trust donations and monthly donations
• Work with the Board in identifying new fundraising sources or strategies

Additional Duties
• Identify, create, and implement strategic plans, keeping the President of the Board apprised
• Recruit and manage volunteers, supported by the Board of Directors
• Organize annual youth auditions and the fourth-grade concert in conjunction with the Artistic Director

Skills and Knowledge

Required:
• Excellent organizational, communication, and creative thinking skills
• Working knowledge of/experience with the DonorPerfect CRM, or comparable CRM database management, data entry, and use
• Working knowledge of/experience with Squarespace website publishing platform, or comparable website publishing platform
• Working knowledge of/experience with Canva Pro Graphic Design Software (or other)
• Working knowledge of/experience with photo editing as pertains to graphic design, email marketing, and physical print media including posters, flyers, and brochures
• Working knowledge of/experience with QuickBooks, specifically managing contractor and vendor onboarding and direct deposit features.
• Working knowledge of/experience with Google Workspace suite, especially Sheets and Google Docs.
• Working knowledge of/experience with QR Code Generator Pro.
• Working knowledge of/experience with PayPal, Stripe, and Square Credit Card processors as pertains to Squarespace payment and donation checkout/processing.

Preferred
• Bachelor’s degree
• Experience working in or with a nonprofit organization
• Familiarity with local nonprofit arts organizations

Salary and Benefits
$30,000 per year
Estimated 20 hours a week, depending on the time of year
Three days of paid sick leave per year
Flexible hours
Work from home most of the time
There will be annual job performance reviews by the Executive Committee, which may include salary increases, while other performance reviews may be scheduled within any given 12-month period.

About Us
The Mission of the Channel Islands Chamber Orchestra (CHICO) is to enrich the cultural community of Ventura County by providing performances of classical and contemporary music to audiences of all generations. CHICO hosts annually five concert series, a fourth-grade assembly, and a young artists soloist competition. The San Buenaventura Symphony, dba the Channel Islands Chamber Orchestra, is 501(c)(3)nonprofit organization.
